We are looking for a highly motivated and experienced Executive Office Manager to support senior management in the day-to-day running of the business by carrying out tasks of both an organizational and an operational nature and to manage all the organizational activities of our branch in Barcelona. 

 

Responsibilities

 

This is a key role combining Executive Assistance, Office Management, Administration, and Compliance responsibilities.

 

Executive Assistance

 

  •  Manage the General Manager’s agenda and coordinate internal and external stakeholders.
  • Organize meetings, prepare supporting documentation and presentations, and draft minutes and reports.
  • Coordinate travel arrangements and itineraries in collaboration with the dedicated travel support.
  • Welcome and assist clients, consultants, and visitors.
  • Facilitate effective communication between Management, internal teams, and external stakeholders.
  • Manage confidential documentation, internal procedures, and digital archives.

 

Office & Administrative Management

 

  • Oversee the day-to-day operations of the Barcelona office, including facilities, office supplies, and vendor relationships.
  • Ensure an efficient, professional, and well-organized working environment.
  • Manage administrative processes, contracts, invoices, expenses, reimbursements, customer proposals, and payments using SAGE management tools.
  • Support payroll administration and employee expense reporting.
  • Support employee onboarding in coordination with the HR team at our Italian Headquarters and manage relationships with external HR providers.
  • Act as a key liaison between the Barcelona branch and our Headquarters in Italy

 

Requirements

 

  • Degree or diploma in Business Administration, Management, or a related field.
  • Previous experience in a similar Executive Assistant, Office Manager, or Administrative Management role.
  • Knowledge of Spanish accounting regulations and general ledger processes.
  • Strong proficiency in Microsoft Office, particularly advanced Excel, and office management software.
  • Experience with administrative and accounting management tools; knowledge of SAGE is a plus.
  • Excellent organizational, planning, multitasking, and problem-solving skills.
  • Strong communication and interpersonal abilities.
  • High attention to detail, analytical skills, flexibility, and the ability to work effectively under pressure.
  • Ability to work both independently and collaboratively in a multicultural and international environment.
  • A high level of discretion and confidentiality.
  • Fluent Spanish and English are essential; Italian is a plus.
